About the Role

We are seeking a highly organized and dependable Administrative Assistant to serve in the operational backbone of our office. This is not a task-based administrative role. This position requires someone who can take ownership of office processes, maintain structure in a fast-moving environment, and ensure that communication, scheduling, and documentation are handled with accuracy and professionalism. You will work closely with engineers and leadership, supporting time-sensitive projects where attention to detail is critical.

Key Responsibilities

  • Serve as a point of contact for clients, attorneys, and partners, maintaining a professional and polished presence
  • Assist in coordinating schedules, site inspections, and meetings for engineering staff
  • Prepare and format technical reports and correspondence for clarity, consistency, and professionalism
  • Maintain and organize case files, reports, and documentation across digital platforms
  • Track project timelines, documentation flow, and administrative deliverables
  • Manage office communications (email, phone, document routing) with a high level of responsiveness
  • Support leadership with administrative coordination and day-to-day operational needs
  • Maintain and improve office systems to support efficiency and accuracy

Qualifications

  • 2+ years of administrative experience in a professional office environment
  • Experience supporting engineering, legal, construction, or other technical/professional services strongly preferred
  • Ability to work independently and manage responsibilities with minimal supervision
  • Strong written communication skills, including document formatting and editing
  • High attention to detail when reviewing reports and handling documentation
  • Excellent organizational and time management skills
  • Professional judgment in handling sensitive or client-facing information
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and cloud-based file systems (Google Drive, Dropbox)
