Job Description

The Office Administrator handles client-facing duties as well as general office management tasks. This position answers inquiries and greets customers, visitors, and other interested parties, while handling multiple phone lines and assisting with various administrative tasks. The Office Administrator must have strong communication and multitasking skills, as well as a positive attitude and a strong work ethic.

RESPONSIBILITIES:

Provides a variety of duties including but not limited to the following:

• Meet and greet clients, suppliers, and vendors and announce arrival as needed

• Receive and dispatch deliveries, sort incoming mail and place in staff mail boxes; handle postage for the office

• Help walk-in job applicants apply online using the career center

• Track and order inventory

• Ensure office equipment is in working order and contact vendors to repair if needed

• Help maintain workplace security by monitoring who enters the building

• Maintain telecommunication system by following manufacturer's instructions for console operation

• Send thank you cards to clients

• Maintain the employee and department directory

• Prepare meetings and training rooms

• Assist colleagues with ad-hoc administrative tasks

• Schedule appointments when needed

KNOWLEDGE/SKILLS/ABILITIES:

• Understand and follow written and oral instructions

• Must be dependable; have a good professional and positive attitude

• Adaptable to interruptions throughout the day

• Ability to multi-task and work in a fast-paced environment

• Ability to apply common sense understanding to carry out detailed but involved written or oral instructions

• Able to contribute positively as part of a team, helping out with various tasks as required

• Ability to operate standard office equipment including: Multi-line Telephone, Fax, Photocopy/Scanner, Computer/Printer, and 10-key

EDUCATION AND EXPERIENCE:

• High school diploma or equivalent required

• 1 year of experience in an office/clerical support environment
